The challenge
Before working with Flowout, Velour Medical relied on a fragmented stack of Webflow, Salesforce, DrChrono, and Airtable that was stitched together without a unifying system and data. Booking a single appointment required manually calculating availability, which took a few minutes per booking so the users decided to book via phone, which was not sustainable. But that was just a symptom of a deeper problem: the setup wasn't just slow, it wasn't scalable.
Velour Medical needed a platform that would:
- Replace an outdated, non-scalable booking process with something built to grow
- Centralize administration across Salesforce, DrChrono, and patient data
- Deliver a fast, intuitive booking experience for patients and a clear admin console for providers
- Meet HIPAA compliance requirements for handling patient data
- Migrate existing users and historical data from the legacy system without disruption


Our approach
Flowout started with a discovery phase to map Velour Medical's existing systems, workflows, and data dependencies. Early on, the team tested whether an off-the-shelf approach, which meant building on top of Webflow with a tool like Memberstack, could meet the requirements. It quickly became clear that a standard Webflow solution wouldn't hold up against the complexity of a healthcare booking and admin platform: custom development was the only path to something scalable and compliant.
That discovery also shaped a key architectural decision. Rather than routing structured data through a third-party tool, Flowout built Velour Medical its own custom database as the foundation for the new booking flow and client portal. New design and UX work (led by Flowout's UX/UI team) ran in parallel with this technical foundation before both came together into a single custom solution.
The engagement was structured as a one-year build with:
- Discovery — auditing existing tools, data flows, and compliance requirements
- Design — new booking flow, client portal, and provider/admin experience
- Development — custom booking engine, admin console, and integrations
- QA & rollout — continuous QA throughout development
Throughout the project, Flowout maintained close communication with Velour Medical's team through weekly calls, but switched to daily check-ins once the project's release date came closer.The Flowout team involved in the project consisted of 6 experts, each from their respective fields.

Custom booking engine
Rebuilt the booking flow from the ground up, cutting date selection and availability calculation from a few minutes down to just a few seconds.
Structured data foundation
A custom database architecture (in place of a third-party tool like Airtable) to store and organize booking, patient, and provider data, integrated cleanly with Salesforce and DrChrono.
HIPAA-compliant data handling
Secure handling of patient bookings, patient data, and payments built into the platform from the ground up, with compliance considerations shaping technology choices throughout.
Data migration
Full migration of users and historical data from Velour Medical's previous system, so the transition to the new platform didn't cost the practice its history.


The results
The project moved Velour Medical from a slow, non-scalable collection of tools to a single custom platform built to grow with the business. Beyond raw speed, the bigger win was architectural: the previous setup wasn't just a bottleneck on performance, it was a ceiling on scale. The new platform removes that ceiling and brings Velour Medical a highly optimized booking process.
The new bespoke app now enables Velour Medical's team to:
- Manage booking offerings, collect bookings and process the deposit payments
- Rely on a HIPAA-compliant foundation for patient data across the platform
- Maintain full continuity with historical user data after migrating off the legacy system
The relationship with Flowout continues beyond launch, with ongoing support and plans for further projects together.
